Get Notifications When a Client Submits Information to the Estate

Learn when your firm and your clients receive email notifications about portal activity.

Stay informed when your clients take action. When a client updates or submits information through the Client Portal, uploads a file, submits a questionnaire, or completes all their steps, you will receive an email notification, so you always know when new details have been added to the estate.

🔔 How It Works


When you send an invite to a client, email notifications are automatically enabled. Any time that client submits or updates information in the Client Portal, you will receive an email letting you know.


These notifications include files. If a client uploads a document you requested on the Estate Files step, that upload is covered by the same email as any other submission.


To avoid flooding your inbox, notifications are batched. You will receive an update within 1 hour and 15 minutes of a client's first submission. This gives clients time to complete multiple entries without triggering a separate email for each one.


When a client completes all their portal steps, a separate completion notification is sent to you immediately. This email confirms the client has finished their portal tasks and that their submissions are ready for your review. The client will also receive a confirmation email.


📬 Who Gets Notified?


By default, notifications are sent to the person who added the matter to EstateMin.


You can select who else to notify via the Notification Recipients section when linking a new matter.


How to Edit Notification Recipients

  1. Navigate to your matter

  2. Click Edit on the Estate Overview page

  3. Select which users should receive notifications

  4. Click Save


✍️ Note: Only users who have signed into EstateMin will appear on the notification recipients list. Any Clio users can log in to EstateMin to become selectable also.


📝 When Is Your Client Notified About a Questionnaire?


Questionnaires do notify your client by email. There are two triggers:

  • You assign a questionnaire to a client who has already been invited. They are emailed to let them know one is waiting. This applies whether it is the first questionnaire on that portal or a replacement for one already assigned.

  • You request changes to a questionnaire they submitted. They are emailed with a prompt to come back and update their answers.


If you attach a questionnaire at the moment you invite the client, no separate email is sent, because the invitation itself covers it. See How to Add a Questionnaire to a Client Portal.


❓ Is Your Client Notified When You Share a File?


Yes. When you share a document with a client on an Estate Files key file, EstateMin emails the client to let them know a new document is waiting for them. When they sign in, the row is marked Needs review until they open the file.


The client must already have been invited to their portal and signed in for shared documents to reach them. Use the Client instructions (optional) field on the key file to explain what you have shared and what, if anything, you need back.
