Your firm's questionnaires live on the Questionnaires page, which you can open from the menu in the top right corner of EstateMin. This is where you find published questionnaires, pick up unfinished drafts, and retire questionnaires you no longer use.
🗂️ The three tabs
Each tab shows a count of what it contains.
Templates. Published questionnaires. These are the only ones that can be assigned to a client portal.
Drafts. Questionnaires you have saved but not yet published. They cannot be assigned until you publish them.
Retired. Questionnaires taken out of use. They cannot be assigned to any new portal.
Each questionnaire shows how many questions it has, who last edited it and when, and who published it and when.
✏️ How to edit a questionnaire
Open the menu in the top right corner and select Questionnaires.
Click the questionnaire you want to change.
Make your changes and click Save.
⚠️ Editing a published questionnaire affects matters already underway
The updated questions appear in every client portal the questionnaire is assigned to, including clients who have already started answering. You are asked to confirm before the change is applied.
To change the wording without disturbing live matters, duplicate the questionnaire and edit the copy instead.
📄 How to duplicate a questionnaire
Click the duplicate icon on the questionnaire. This creates a new questionnaire containing a copy of everything in the original, which you can then customize and publish separately. The original is untouched.
Duplicating is the right move whenever you want a variation. Use it to build a new questionnaire from one that already works, to make a version for a different kind of matter, or to change wording safely while the original stays in use.
🗑️ How to retire a questionnaire
You can retire a questionnaire from the Templates tab using the bin icon, or from inside the questionnaire editor. You will be asked to confirm.
⚠️ Retiring cannot be undone
A retired questionnaire cannot be recovered, restored, or assigned to any new portal.
If you need to recover a retired questionnaire you can instead duplicate it and create a copy at any time via the Retired tab.
What retiring does not do: retiring does not affect client portals that already have the questionnaire assigned. Those clients keep the questionnaire, can still answer it, and your firm can still review and accept it as normal. Retiring only stops it being assigned to anyone new.
Accepted questionnaires already on a matter stay exactly where they are. Retiring never removes anything from the record.
♻️ Can I bring back a retired questionnaire?
Not directly. A retired questionnaire cannot be restored. You can, however, open it on the Retired tab and duplicate it, then publish the copy as a new questionnaire.
💡 Good to Know
The bin icon retires a questionnaire rather than erasing it. It stays visible on the Retired tab so you keep a record of what your firm has used.
Only published questionnaires can be assigned. If a colleague cannot find a questionnaire when assigning one, check whether it is still sitting in Drafts.
Questionnaires are not divided by matter type (Coming soon). Every published questionnaire is available to every matter.
Before retiring, it is worth checking whether any live matters still rely on it. Those clients keep working normally, but your firm will not be able to assign the same questionnaire to a new client on that matter.
