How to Create and Manage Intake Links

Learn how to create intake links for prospective clients, copy and share them, pause them, and change your firm's web address.

An intake link is the web address a prospective client opens to start their intake with your firm. You can create as many links as you need, for example one for probate enquiries on your website and another for estate planning enquiries you send by email. Every lead remembers which link it came from.

📋 The Intake Links Page

Click Leads in the icon rail on the far left, then click Intake links under Setup in the Leads panel.

At the top you will see Your firm's web address, for example app.estatemin.com/i/your-firm. Below it, a table lists your links with these columns:

  • Link: the link's name and its address.

  • Matter type: the kind of matter every lead from this link starts as.

  • Assigned to: who follows up with leads from this link.

  • Started, Submitted and Converted: how many leads have come through the link at each stage.

  • Status: Live if the link is taking new leads, or Paused if not.

➕ How to Create an Intake Link

  1. On the Intake links page, click New link.

  2. In the New intake link drawer, fill in the fields:

    • Name: a name only your team sees, such as "Website enquiry".

    • Link address: the end of the web address prospective clients open. It fills in from the name as you type, and you can edit it. Each of your links needs its own.

    • Matter type: every lead from this link starts as this kind of matter, such as Probate - Testate or Estate Planning. The prospective client sees the portal steps for that matter type.

    • Questionnaire: what the prospective client fills in when they open this link. Choose a published questionnaire, No questionnaire, or Create a new questionnaire.

    • Assign leads to: the person who follows up with leads from this link and handles their initial intake. This can be anyone at your firm, including a paralegal, or Unassigned.

    • Responsible attorney: suggested when a lead from this link is converted to a matter. You can change it at that point.

  3. Click Create link.

📤 How to Copy and Share a Link

  1. On the Intake links page, click Copy on the link's row. You can also open the link and click Copy link at the top of the drawer.

  2. Paste the link into your website, an email signature, or a message to a prospective client.

✏️ How to Edit or Pause a Link

  1. On the Intake links page, click the link's name to open its drawer.

  2. Change any of the fields, then click Save.

  3. To stop a link taking new leads straight away, turn off the toggle beside Live at the top of the drawer. The link then shows as Paused. Turn the toggle back on to make it live again.

When a link is paused, anyone who opens it sees a page saying This link is no longer active and asking them to contact your firm directly. Leads that already came in through the link are not affected.

🗑️ How to Remove a Link

A link that has never brought in a lead can be removed. Open the link and click Remove, then confirm with Remove link. This cannot be undone.

Once a link has leads, Remove is unavailable so that every lead keeps the link it came from. Pause the link instead.

🌐 Changing Your Firm's Web Address

Your firm's web address is the first part of every intake link. To change it, click it at the top of the Intake links page, enter a new one, and save. EstateMin tells you whether the address is available.

⚠️ Changing your firm's web address, or a link's Link address, breaks any links you have already shared. Update your website and any saved emails afterwards.

💡 Good to Know

  • Changing a link's Matter type only affects new leads. Leads it already brought in keep theirs.

  • If you edit the questionnaire later in Settings, the changes apply to the link too. To ask different questions on different links, publish a separate questionnaire for each.

  • A link's start page uses your Client Portal branding, so it matches your portal. See How to Customize Client Portal Branding.
