How to Set Default Key Files
Default key files are files that automatically appear on every new matter of a given type, so your firm doesn’t have to create them manually each time. You can configure different default key files for each matter type.
📁 How do I add a default key file?
- Go to Account Settings and scroll to the Matter Defaults section.
- Under Default key files, select the matter type tab you want to configure (Probate – Testate, Probate – Intestate, Trust Administration, or Estate Planning).
- Click Add file.
- Enter a File Name and optionally check Add to client portal if you want the client to see this file in their portal.
- If adding to the client portal, you can include a Description to help the client understand what the document is for.
- Click Save, then click Save Matter Defaults.
👥 What does the Client Portal column mean?
Each default key file has a Client Portal column showing Yes or No. Files marked Yes will appear as a step in the Client Portal, prompting the client to upload that document. Files marked No are firm-side only and will not be visible to the client.
💡 Good to Know
- Each matter type comes with system default key files (for example, Death Certificate and Will for Probate – Testate). These cannot be removed but can be supplemented with your own.
- Custom default key files you add will appear on all new matters of that type going forward. Existing matters are not affected.
- You can configure different key files for each of the four matter types.
