How to Track Creditor Claims in EstateMin
EstateMin lets you track creditor claims directly on debt records. For each debt in the estate, you can record whether the estate intends to pay or reject the claim, whether the creditor has formally filed with the probate court, and — if the claim is being rejected — the date the rejection notice was issued.
These fields are firm-side only and are not visible to clients in the Client Portal.
📝 What creditor claim fields are available on debt records?
Three fields are available on every debt record, regardless of category (Credit Card Debt, Personal Loan, Mortgage, Medical Bills, etc.):
Claim Disposition
- Options: Paying or Rejecting
- Records whether the estate intends to pay or reject the debt
- Selecting Rejecting reveals the Claim Rejection Date field
Claim Rejection Date
- A date field for recording when the formal rejection notice was issued to the creditor
- Only visible when Claim Disposition is set to Rejecting
- Hidden when Claim Disposition is blank or set to Paying
Creditor Filing Status
- Options: Filed or Not Filed
- Records whether the creditor has formally filed their claim with the probate court
All three fields are optional.
✏️ How do I record a claim disposition on a debt?
- Open the matter and navigate to the Estate Overview.
- Scroll to the Debts section and click on an existing debt, or click Add Debt to create a new one.
- On the debt form, set the Claim Disposition dropdown to Paying or Rejecting.
- If you selected Rejecting, the Claim Rejection Date field will appear. Enter the date the rejection notice was issued.
- Set the Creditor Filing Status to Filed, Not Filed, or leave blank.
- Click Save.
🔄 What happens if I change the Claim Disposition away from Rejecting?
If you change the Claim Disposition from Rejecting to Paying or back to blank, the Claim Rejection Date field will immediately disappear from the form. The rejection date is only visible and editable when the disposition is set to Rejecting.
🔍 How do I filter debts by claim disposition or filing status?
- On the Estate Overview, click the filter icon beside the Export button.
- In the Overview Filters panel, set the Section dropdown to Debts.
- Use the Claim disposition dropdown to filter by Paying or Rejecting.
- Use the Creditor filing status dropdown to filter by Filed or Not Filed.
- Click Apply Filters to view the filtered results.
📤 Are creditor claim fields included in exports?
Yes. All three fields — Claim Disposition, Claim Rejection Date, and Creditor Filing Status — are included in the following exports:
- PDF Full — all three fields appear as labelled rows within each debt record
- CSV — all three fields are included as separate columns
If a field has not been set, it will appear as blank in the export.
🔒 Can clients see these fields in the Client Portal?
No. Claim Disposition, Claim Rejection Date, and Creditor Filing Status are firm-side only. They are not visible to clients in the Client Portal.
💡 Good to Know
- These fields appear on every debt category: Credit Card Debt, Personal Loan, Mortgage, Auto Loan, Medical Bills, Utility Bills, Taxes Owed, Judgments or Lawsuits, Business Debts, Student Loan, and Other Debts.
- The rejection date is particularly important where a claim is being rejected, as it may trigger the creditor’s statutory window to initiate litigation.
- All three fields are optional — you can set them at any time and update them as the matter progresses.
- Hover over the info icon beside each field label to see a tooltip explaining its purpose.
