When your firm decides to take on a prospective client, convert their lead. Converting creates the matter and client contacts in Clio and turns the lead into an ordinary EstateMin matter, set up exactly as if you had linked it from Clio. The prospective client keeps the same portal, and everything they shared is waiting for you to review and approve.
đ How to Convert a Lead
Open the lead from your Leads list.
Click Convert to matter at the top right.
Check the details in the Convert to matter window. Most are filled in for you:
Matter type: from the intake link. Change it if the enquiry turned out to be different.
Client: who becomes the client on the Clio matter. It defaults to the prospective client, and you can choose anyone else they listed. On Estate Planning matters you can also choose a Joint client, so a couple is set up as joint clients on one Clio matter.
Responsible attorney: from the intake link. Choose another member of your firm or Unassigned.
State and County (optional): the state is taken from the prospective client's address where they gave one. Otherwise click Choose a state.
Matter description: suggested as Estate of followed by the decedent's name, or Estate Plan of followed by the clients' names. Edit it as needed.
Matter notifications: who is told when the client updates the matter. The lead's notification recipients and the responsible attorney are ticked for you.
Under each client, EstateMin looks for a Clio contact with the same email address:
If one exists, choose Use existing contact or Create a new contact.
If none exists, you will see that a new Clio contact will be created.
Click Convert to matter.
â What Happens After Converting
The matter and client contacts are created in Clio, and the matter is linked to EstateMin with your usual setup, including default key files and notification recipients.
The matter appears in your Matters list and the lead moves to the Converted tab. Click Open matter on the lead to go straight to it.
Everything the prospective client shared is waiting under Client portals on the matter, ready for you to review and approve into the estate in the usual way. See Reviewing Client-Submitted Files, People, Assets, Debts, and Expenses.
The prospective client keeps the same portal and sign-in. Their portal now works like any other client portal, without the Submit button. They do not need a new invitation.
The lead page stays as it was at the moment of conversion, for your records.
đĄ Good to Know
You can convert a lead that is In progress, Submitted or Details requested. To convert a declined lead, reopen it first.
If nobody on the lead can be the client, EstateMin shows Nobody listed on this lead can be the client. Ask the prospective client to add their details first. Request more details from them, then try again.
If something goes wrong partway through, the lead is left unchanged and you can safely try again. EstateMin will not create a second Clio matter.
EstateMin does not email the prospective client when you convert their lead. Let them know yourself, for example with your engagement letter.
