Leads lets your firm collect information from prospective clients before you decide to take them on. You share an intake link on your website or by email. Anyone who opens it gets their own intake portal, fills in the same steps a client would, and submits it to your firm. You review what they shared, then convert them into a matter or decline them.
Nothing about a lead is written to Clio until you convert it, so your Clio account does not fill up with people who never become clients.
š How Leads Works
Share your intake link. Add it to your website or send it by email. Each link sets the matter type, the questionnaire, and who the lead is assigned to. (How to Create and Manage Intake Links)
They get their own portal. The prospective client enters their name, email and phone, and receives a password-free sign-in email. They can fill in the portal all at once, or save and come back over time.
Reminders do the chasing. Automatic emails nudge them to sign in and finish. When they are ready, they press Submit. (How to Set How Often Reminder Emails Are Sent)
Review and convert. Your firm sees everything they shared. You can ask for more details, decline the lead, or convert it. Converting creates the matter and client contacts in Clio. (How to Convert a Lead to a Matter)
š§ Where to Find Leads
Click Leads in the dark icon rail on the far left of EstateMin, below Matters. The number on Leads is how many leads have been submitted and are waiting for your firm. Before your firm has set up Leads, it shows a New tag instead. (How to Set Up Leads for Your Firm)
The Leads panel on the left has:
ā
All leads, Probate, Estate Planning and Trust Administration, to filter the list by matter type.
Under Setup: Intake links, where you create and manage your links, and Notifications, where you choose who hears about new leads.
š·ļø Lead Statuses
In progress. The prospective client has started but has not submitted yet.
Submitted. They have pressed Submit and the lead is ready for your review.
Details requested. Your firm has asked them for more information. The lead stays here until they submit again.
Converted. The lead is now a matter in Clio and EstateMin.
Declined. Your firm decided not to take the lead on. Everything they shared is kept, and you can reopen it.
š” Good to Know
Leads do not appear in your matters list, are not synced to Clio, and do not count toward billing. A lead only becomes a matter when you convert it.
After conversion, the prospective client keeps using the same portal as an ordinary client, and everything they shared is waiting for you in the usual review flow.
The intake page is protected against bots, so spam submissions are kept to a minimum.
Leads is available to firms connected to Clio.
