How to Invite Your Client to their Client Portal

Learn how to invite a client to their Client Portal, resend an invite, and include a questionnaire.

Inviting your client to the Client Portal gives your firm and your client a secure place to exchange information. Your client can provide estate details and send you documents you have requested, your firm can share documents back to them, and you can ask them to complete a questionnaire.

For security reasons, a client cannot log in unless they have first been invited. If someone attempts to sign in without an invitation, no login email will be sent.


Follow the steps below to invite a client for the first time or resend an invitation if needed.


🔐 Before You Begin


To send an invite, make sure:


The client is added to the Estate Overview

  • They must be listed as an Executor or Administrator (Probate/Trust Administration) or a Client (Estate Planning)

  • The email added here is the email that will receive the invitation.


✉️ How to Send a Client Portal Invitation

  1. Open the estate matter in EstateMin.

  2. Click the Client Portals tab.

  3. Select Manage Client Portals.

  4. Click Send Invite.

  5. In the Confirm Invite window, check the email address, then choose whether to include a questionnaire from the Questionnaire list.

  6. Click Confirm.


Your client will receive an email containing:

  • A link to the Client Portal sign-in page

  • Instructions for first-time access


📝 Adding a Questionnaire to the Invitation


The Confirm Invite window lets you attach a questionnaire so it is waiting for your client the first time they sign in. From the Questionnaire list you can:

  • Select No questionnaire if you do not want to send one.

  • Select any published questionnaire.

  • Select Create a new questionnaire to build one now.


Attaching a questionnaire at this point does not send a second email, because the invitation itself covers it. You can also assign a questionnaire later, and there is no need to attach one now to be able to add one afterwards. See How to Add a Questionnaire to a Client Portal.


🔔 Checking Client Reminders Before You Invite


Client Reminders are automated emails that nudge a client who has not signed in or who has incomplete steps. They are switched on by default for every matter, but no reminder emails are sent until you send the invite. Sending the invitation is what starts the reminder schedule.


To check or change reminders before inviting a client:

  1. On the Client Portals tab, click the Portal settings dropdown.

  2. Click Client reminders.

  3. Check or uncheck Login Reminders and Step Completion Reminders as needed.

  4. Click Save.

🔁 How to Resend a Client Portal Invite


If a client has been invited but has not yet logged in, EstateMin allows you to resend the invitation.

  1. Go to the Client Portals tab on the matter.

  2. Locate the client in the list.

  3. If they have never logged in, a Resend Invite button will appear.

  4. Click Resend Invite to immediately send a new portal email.


You can also view the Last Sent Date to confirm when the most recent invitation was issued.


Resending does not change the reminder schedule. Automated reminders run from the date the invitation was first sent. See How to Configure Client Reminders.


🔗 Direct Login to Client Portal


Clients may access the login page at any time using:


(They must still have been invited before they can successfully sign in.)


💡 Good to Know

  • A client must be invited and signed in before they can see anything your firm shares with them. Until they sign in, documents you share on a key file are not visible to them.

  • Once a client has been invited, sharing a document with them sends an email letting them know it is waiting. They will see it in the portal marked Needs review.

  • Assigning a questionnaire to a client who has already been invited also emails them, so you do not need to chase them separately.

  • Client Reminders being switched on does not mean your client is receiving emails. Nothing is sent until you send the invite.
